Purpose of the Role
We are looking for a highly organised and detail-focused Commercial Administrator to join our busy team. You will play a key role in supporting our Surveyors by managing administrative tasks efficiently and with minimal supervision. A significant part of this role involves audio typing reports and correspondence, maintaining accurate data on internal systems, and ensuring smooth day-to-day office operations.
The successful candidate will be comfortable working to deadlines, confident using Microsoft Office applications, and have a strong understanding of professional office environments.

Key Responsibilities
Audio typing of reports, correspondence, emails, agendas, minutes, and property particulars using the in-house dictation portal
Inputting and maintaining accurate data in the AIMs system
Producing, formatting, and finalising documentation including report appendices and fee letters
Sending out reports and property particulars to clients
Supporting monthly internal reporting processes
Managing electronic filing and document retrieval
Occasionally covering reception duties during lunch breaks or staff holidays

Key Deliverables
Success in this role will be measured by:
Accurate and timely support for Surveyors and internal stakeholders
Consistently maintained and up-to-date AIMs records
High-quality audio-typed documents produced on time
Smooth administration of daily office tasks
Excellent internal and client-facing communication

Experience & Skills Required
Previous experience working in a professional office environment, ideally within a Chartered Surveyors or Estate Agency setting
Strong audio typing skills are essential and will be highly beneficial in this role
Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
Excellent attention to detail and time management
Strong organisational skills and ability to multitask
Capable of working independently and using initiative
A reliable team player who can perform well under pressure
