- Description
- C and P are currently recruiting for an Office Manager for one of my clients in Inverness. This role will involve reporting to the director of the company. Your Office hours will be Monday - Friday 8.00 - 5pm. This is a long term vacancy, which will go permanent for the right person.
Job Specification
- Dealing with customers either by phone or email or in person on a regular basis from the office environment
- Creating jobs/quotes/invoices using our simpro software
- Correctly storing customer data using GDPR standards
- Organising engineer/electricians weekly schedule
- Ordering materials with suppliers in advance of jobs going ahead
- Dealing with the day to day running and organisation of our contracts to ensure the engineers have full weeks of work
- Overseeing other members of staff work within the office and ensuring a healthy work environment
- Organising staff college courses when necessary for re training
- Making sure all plant and equipment is serviced/calibrated every year for warranty and safe practices
- Taking part in external company inspections/audits
- Making up weekly folders of jobs for the week ahead for engineers
- Dealing with suppliers and bigger company clients
- Organising travel and accommodation for staff when necessary
- Company vehicle checks and scheduling maintenance
- Ability to maintain relationships with coworkers and suppliers
- Organising for our contracts weeks in advance and to specific timescales
- Planning skills and Time keeping skills
- Must be able to work to strict timescales and have the capacity to problem solve
