Job Type: Full-time, 37 hours Monday-Friday(Minimum 3 month term with possibility of full-time permanent via an in-house application process)

As a Building Services Clerical Assistant, you will play a vital role in supporting daily operations by providing efficient administrative assistance. Your attention to detail, organizational skills, and ability to prioritize tasks will contribute to the smooth running of the office.
Responsibilities:
·Assist in the preparation and maintenance of various administrative documents, including correspondence, reports, and spreadsheets relevant to gas servicing.
·Manage and update databases, ensuring accurate and up-to-date records of projects, clients, and suppliers.
·Coordinate and schedule appointments, meetings, and site visits, ensuring optimal time management for the team.
·Handle incoming calls, emails, and mail, providing prompt and courteous responses or directing them to the appropriate department.
·Support the procurement process by requesting and tracking quotes, processing purchase orders, and maintaining supplier relationships.
·Collaborate with internal teams to ensure the timely and accurate completion of administrative tasks.
·Assist with general office duties, such as filing, photocopying, and maintaining office supplies.
·Uphold confidentiality and discretion when dealing with sensitive information.

Requirements:
·Proven experience in a clerical or administrative role, preferably within the construction or building services industry.
·Proficiency in using office software, such as MS Office Suite (Word, Excel, Outlook) and database management.
·Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
·Strong attention to detail and accuracy in handling data and documentation.
·Knowledge of common building services such as HVAC, electrical, plumbing and joinery would be advantageous.
·Excellent verbal and written communication skills, with a professional and friendly demeanour.
·Ability to work independently as well as in a team, demonstrating a proactive and collaborative approach.
·Familiarity with procurement processes and knowledge of relevant software (e.g., SAP, Oracle) is a plus.
·A commitment to maintaining confidentiality and handling sensitive information with discretion.
